AyCsite, a platform designed for enhanced collaboration within the department, is a creation of and for the Art and Culture Department workforce, comprising 90% interns and social services.

Through this platform, team leaders and members can efficiently monitor task progress and work hours throughout the semester. Additionally, it facilitates easy access to files and historical data from all teams and events, simplifying communication.

OVERVIEW

Problem

With a workforce exceeding 200 individuals, including interns, social services, and coordinators from about 10 teams, optimizing tasks, processes, and documents is crucial for ensuring alignment and uniformity, ultimately streamlining operations within the department.

  • Webpage Goals:

    To track team and individual tasks, delegate and supervise assignments, and maintain control over interns' and social services' work hours, all accessible to the HR team.

  • To gather essential data from all employees and provide a user-friendly method for effortless data upload.

  • To collect historical files and make them accessible to all teams and team members.

  • UX Goals:

    Improving the usability of the current platform through a redesign, guided by UX research.

  • To design the user interface for the upcoming section of the platform.

  • To build a platform in alignment with the University style guidelines and norms, while ensuring it is both feasible and code-friendly.

Redesign

When I was introduced to the project, five pages—LOGIN, MY PROFILE, CHANGE PASSWORD, TASKS, and TEAMS—had already been implemented and were operational. In order to evaluate user-friendliness, we conducted one usability tests with 2 interns and carried out a heuristic evaluation.

By establishing a task-oriented site flow, we measured the completion rate for each user task. Subsequently, I presented the detailed test results to the team, proposed solutions for those issues and explored potential additional factors.
